Governing Microsoft 365 at Scale with nBold Metadata

Repeatable collaboration at scale doesn’t end when a workspace is created — it also has to stay governed and findable for as long as it exists. That means every team needs shared, trustworthy labels (region, owner, deal stage), and keeping hundreds of those labels accurate by hand doesn’t scale — a flat team list with no metadata simply can’t be steered. nBold’s metadata management turns that flat list into a filterable, governed inventory: define metadata once in a template, assign or change it across hundreds of teams with Bulk, and keep values synced automatically from Salesforce — no manual tagging, no spreadsheet on the side.

What’s new

Metadata is now a first-class, governed layer across the whole team estate:

  • Define once, in Custom Forms. Metadata fields (department, region, deal stage, whatever your organization tracks) are defined at the template level and captured when a team is requested.
  • Assign or change at scale, with Bulk. Apply, update, or remove metadata values across hundreds of existing teams in a single operation — no need to open each team individually.
  • Keep it synced automatically. Metadata values can sync from third-party systems — Salesforce today, with more nFlow connectors on the way — so a value that changes in the CRM updates the team’s metadata without anyone re-entering it.
  • See and filter it everywhere. Metadata shows as colored pills directly on team cards, and it’s filterable in both My Teams and Bulk, so anyone can slice the estate by the attributes that matter to them.

Why it matters

Metadata is what turns a list of Teams into a governed inventory. It’s the difference between “we have 800 teams” and “we have 800 teams, and we can tell you exactly which 40 belong to EMEA Sales, are still active, and are tied to an open Salesforce opportunity.” For IT and operations teams accountable for Microsoft 365 governance, that’s what makes reporting, cleanup, and access reviews tractable instead of a manual audit every quarter. And because values sync from Salesforce instead of being typed in by hand, the metadata stays trustworthy — it reflects what’s actually true in the CRM, not what someone remembered to update.
